Why your club needs online membership sign-up (and what it changes)

Shavit Media · Published 26 Aug 2026 · 5 min read

Short answer: because joining your club should not require printing a form. Online membership sign-up lets people join and renew from their phone, sends the welcome email automatically, and gives the committee one live list instead of paper piles and a spreadsheet only one volunteer understands.

The paper problem

Here is the membership journey at most clubs: someone visits, likes the place, is handed a form. They take it home. Some bring it back. The secretary types the details into a spreadsheet, chases the payment, and eventually the new member hears back. Every step leaks people, and every step is volunteer time. Renewals are worse: nobody enjoys chasing fifty members for payment by phone.

What changes with online sign-up

  • People join in two minutes from their phone, the moment they decide
  • The welcome email goes out instantly, on its own
  • Payments arrive online instead of being chased
  • Renewal reminders send themselves before the season starts
  • The committee sees members, payments and numbers in one panel, live

This is not theory for us. At Tugun Bowls Club on the Gold Coast, new member welcome emails and weekly committee reports run automatically today. Nobody remembers to send them, because nobody has to.

"Our members are older, they will not use it"

The most common objection, and the least true. The same members bank on their phones and message their grandkids on WhatsApp. Online sign-up is for the sixty-year-old who visited on Sunday and wants to join on Tuesday night, and it does not replace the paper form for those who prefer it. You are adding a door, not closing one.

"We are volunteers, we cannot maintain a system"

You should not have to. A well-built member system is maintained by whoever built it, and the club just uses it. That is the standard we build to: the committee gets an admin panel made for volunteers, and the technical side stays our problem.

What you need to get started

A membership form (you already have it on paper), your fee structure, and a bank account for payments. That is genuinely it. The rest is our job: we map how your club works today and build the online version around it, not the other way round.
